Automation and Training Management

The more employees, training requirements, and recurrent training deadlines come together, the less your organization should depend on manual lists and reminders. That is why the key question is not only whether an LMS can digitally map training processes, but also how much routine work it can actually automate.

What work can an LMS actually take off my hands in everyday training?

A good Learning Management System (LMS) primarily takes over the recurring administrative tasks involved in training management. It manages learners and training requirements, assigns training, sends training invitations and reminders, monitors deadlines, and documents learning progress, certifications, and training records.

With iLearn24®, a large proportion of these processes can be automated. Based on suitable HR master data, for example, target groups can be created and training can be assigned to the appropriate employees. If relevant employee data changes, such as job function, responsibilities, or organizational unit, the corresponding training requirements can also be adjusted automatically.

Based on our practical experience, approximately 80 to 90 percent of training assignments can be automated, if HR master data is structured appropriately and maintained at a sufficient level of quality.
However, the goal is not automation at any cost. An LMS should primarily relieve you of routine administrative work, allowing you to focus your time and expertise on areas where professional judgment, decision-making, and human responsibility are essential.

How can training deadlines and certifications be monitored automatically with an LMS?

iLearn24® centrally manages training activities, certifications, validity periods, and the resulting training requirements. This enables responsible stakeholders to see which qualifications are currently valid, which are approaching expiration, and where action is already required.

For recurrent training, validity periods and retraining cycles can be defined within the system. Based on these settings, upcoming training activities, training notifications, and reminder messages can be managed automatically.

Instead of regularly reviewing multiple spreadsheets, lists, or files, organizations gain a continuous and transparent overview of qualification and certification status across the workforce.

Good to know: The LMS monitors the rules and requirements defined within the system. However, determining which training is required for which individuals and within what timeframe must first be established correctly from both a regulatory and an operational perspective. This distinction remains particularly important in highly regulated environments.

Can an LMS automatically notify employees about training requirements and remind them of due training?

Yes. iLearn24® can automatically send training notifications and reminders based on predefined events and training requirements.

For example, employees can be informed about newly assigned training, upcoming deadlines, or outstanding training activities. Depending on the process design, supervisors and other responsible stakeholders can also be notified when additional action is required.

This is particularly valuable for recurrent mandatory training, as it significantly reduces administrative effort and helps prevent overlooked or overdue training.

However, automation does not replace responsibility for training management. Rather, it ensures that once-defined processes are executed consistently, reliably, and repeatably.

Can training be automatically assigned to the right employees?

Yes. iLearn24® can use existing HR master data to create target groups and automatically derive training assignments from them.

Depending on the available data, criteria such as job title, department, organizational unit, role, responsibility, or specific job activities can be considered. If relevant employee data changes, the individual’s target group membership and the resulting training requirements can be updated accordingly.

Based on our practical experience, approximately 80 to 90 percent of training assignments can often be automated when suitable HR master data is available.

For the remaining special cases, iLearn24® provides flexible options, such as decentralized maintenance of selected employee information or a decentralized assignment matrix.

This allows iLearn24® to combine a high degree of automation with the flexibility needed to handle individual and exceptional requirements effectively.


Training, Certificates, and Learning Content

Learning no longer takes place exclusively in a classroom or entirely online. A professional training management system should therefore be able to bring together different learning formats, external qualifications, and existing training records within a single, centralized training history.

What types of training and qualification activities can I manage with iLearn24®?

iLearn24® is not limited to web-based training. Different forms of learning, qualifications, and training records can be consolidated within a single, comprehensive training history.

These include, for example:

  • Web-based training and other digital learning offerings
  • Classroom training
  • Virtual training sessions and online events
  • External training
  • Certifications and qualification records
  • Documents requiring acknowledged review through a Read & Sign process

This provides a centralized view of an individual's relevant qualifications, regardless of how or where they were obtained.

This is particularly important in the aviation industry. For compliance and audit purposes, what matters is not simply where someone received their training, but whether the required qualification can be documented completely, remains current, and is fully traceable.

How are recurrent training requirements and different validity periods managed?

With iLearn24®, different validity periods and retraining cycles can be defined for both training activities and certifications.

This allows even complex training environments to be managed effectively. For example, one qualification may require annual renewal, another may need to be renewed every two years, while others may follow different operational, technical, or regulatory cycles.

Based on the requirements configured in the system, iLearn24® can automatically identify new training needs and reintroduce affected employees into the training process at the appropriate time.

Important from a compliance perspective: The LMS supports the operational implementation of the training requirements you define. However, determining which target groups must receive training, at what level of depth, and at what frequency remains the responsibility of the applicable regulatory, approved, and organizational requirements.

Can I also document external training and existing certificates in iLearn24®?

Yes. Training completed outside of iLearn24®, as well as existing qualifications and certifications, can be incorporated into the training history.

This is particularly relevant when employees have obtained qualifications before joining the company, complete training with external providers, or when an organization migrates from another LMS to iLearn24®.

Existing certificates and other supporting records can be linked to the corresponding individuals and qualifications within the system.

This creates the most complete possible view of an individual's actual qualification status, eliminating the need to manage training records permanently across multiple spreadsheets, folders, or disconnected systems.

Can I distribute documents via Read & Sign and document acknowledgement?

Yes. iLearn24® supports Read & Sign as a dedicated use case.

Documents can be distributed to specific target groups, and the required acknowledgement can be recorded and documented. This can be useful for internal policies, procedures, safety information, or other documents where a traceable confirmation of receipt and review is required.

Important: Read & Sign and training are not automatically the same thing. Whether a documented acknowledgement is sufficient from an operational or regulatory perspective depends on the specific requirement.

This distinction is exactly what professional training management should consider.

Can I use my own online training and content from other providers in iLearn24®?

Yes. Customers using iLearn24® are not limited to the training content provided by wingsacademy.

iLearn24® supports SCORM 1.2 and can also accommodate learning content in SCORM 2004 format. Additional content formats can be integrated through appropriate technical solutions, depending on the specific use case and requirements.

This allows organizations to incorporate both their own web-based training and learning content from third-party providers into their existing training environment.

Our guiding principle is simple: The LMS and training content can be combined, but they do not have to be. The system should adapt to and support your training landscape, not the other way around.


Controlling, Compliance und Audit

Particularly in regulated environments, it is not sufficient to know that training has taken place “somewhere.” Training managers must be able to identify who requires which qualifications, understand the current compliance status, and recognize where action is needed.

And when an audit occurs, this overview must be supported by reliable, traceable, and audit-ready documentation.

Can I see at any time who is adequately trained and where action is required?

Yes. iLearn24® consolidates learning progress, certifications, validity periods, and outstanding training requirements in a central location.

This enables responsible stakeholders to identify which qualifications are currently in place, where deadlines are approaching, and which employees or subject areas require attention.

At the same time, not every stakeholder needs visibility across the entire organization. Depending on their role, responsibilities, and permissions, access can be limited to their specific area of responsibility, such as particular teams, organizational units, or subject matter areas.

The key advantage compared to traditional spreadsheet- or list-based management is that the status is generated from current system data and does not need to be manually compiled from multiple sources on an ongoing basis.

What reporting and training controlling capabilities does iLearn24® provide?

iLearn24® offers configurable dashboards that enable training managers to focus on exactly the information relevant to their area of responsibility.

This may include their own teams and organizational units, as well as specific operational, compliance, or subject-matter areas. For example, compliance managers can monitor learning progress, certifications, completion rates, and upcoming training requirements through consolidated, interactive dashboards.

An additional task-oriented dashboard highlights actions that require immediate attention. Trainers can view outstanding attendance confirmations, subject matter experts can track pending content reviews, and managers can see feedback actions required for their employees.

For more advanced analysis, iLearn24® includes a report generator. Reports can be customized, filtered, and evaluated according to specific requirements and can be exported, for example, as CSV files. Once created, report configurations can be saved and accessed again with a single click.

And sometimes the information should come to you rather than the other way around: frequently required reports can be distributed automatically via email on a scheduled basis.

How does an LMS support audits and regulatory inspections?

An LMS can prepare and significantly simplify a large part of the documentation required for audits and regulatory reviews.

Typical audit questions include:

Who was required to complete training?
Which training was required?
When was it completed?
Which certification is held?
How long is it valid?
Where is the corresponding record or evidence?

Based on our experience in aviation: An LMS alone does not automatically make your training management compliant or audit ready. How are training records and certifications documented in a traceable manner?

iLearn24® consolidates learning progress, completed training activities, certifications, and the corresponding supporting records within an individual training history for each learner.

This makes it possible not only to review the current qualification status, but also to maintain and reference historical training information. Existing records can also be transferred when migrating from another LMS.

When it comes to data migration, we take a pragmatic approach: not every historical record necessarily needs to remain permanently within the operational LMS.

Together with our customers, we evaluate which information is required for ongoing training management and which older records can be archived outside the production system while still complying with applicable record retention requirements.

The objective is not to create an LMS that simply contains as much historical data as possible. Rather, the goal is to ensure reliable, audit-ready, and traceable documentation of training and qualifications.

Our understanding of training management:
An LMS alone does not make an organization compliant. What truly matters is that training requirements, target groups, deadlines, and supporting records work together effectively and consistently. That is precisely why we combine LMS technology with extensive training management and aviation expertise.


Organization, roles, and external learners

Organizations rarely consist of a single homogeneous user group. Different locations, departments, managers, subject matter experts, and external partners require different levels of access and responsibility.

An LMS should be able to reflect this reality without making the organization unnecessarily complex.

Can iLearn24® support different locations, departments, roles, and responsibilities?

Yes. Different corporate and organizational structures can be represented through HR master data, organizational assignments, and a comprehensive role and permission concept.

This ensures that stakeholders have access only to the information and functions relevant to their specific responsibilities. For example, decentralized training coordinators or line managers can manage their own areas without automatically gaining access to data from other organizational units.

The current role and permission concept can be downloaded directly from iLearn24®, for example for documentation purposes or to support reviews by data protection officers, information security teams, or employee representative bodies.

We also keep licensing simple: An account is an account. Additional administrative privileges do not make a user account more expensive in iLearn24®.

This means that sensible, decentralized responsibilities do not need to be artificially centralized simply to reduce licensing costs.

How can external employees, contractors, or third-party personnel be trained without integrating them into the internal IT structure?

External learners can be managed in iLearn24® separately from the internal employee structure.

This means that employees of service providers, partner organizations, or third-party companies do not need to be created as internal users in a primary HR system simply to complete required training.

This is particularly important in complex corporate and IT environments. For example, an airport or airline may not wish to grant external personnel access to its internal SAP, HR, or identity management systems, while still requiring a reliable training process and traceable training records.

iLearn24® therefore supports different processes for internal and external target groups, while allowing training status information and required records to be managed centrally.

Based on our aviation experience: In environments where multiple organizations and employee groups work together at the same location or within the same operational process, maintaining a clear separation between internal and external learners is not the exception, but an essential component of practical and effective training management.

Particulary relevevant in aviation:
Airports, airlines, and other organizations often work with a large number of service providers and external workforce groups. Training management must therefore be able to clearly separate internal and external structures while still providing the necessary visibility into training status, qualifications, and certification records.


Integrations and Login

An LMS is rarely a standalone solution today. Employee master data typically originates from other systems, identities are managed centrally, and qualification records often need to be accessible across multiple platforms.

That is why we view system integrations not merely as technical connections, but as an integral part of the overall training management process.

Can iLearn24® be integrated with existing HR, personnel, and other enterprise systems?

Yes. Integrations have been an established part of the practical use of iLearn24® for many years.

Over time, nearly 30 different systems and system landscapes have been connected to the platform. These include HR and personnel systems such as SAP and DATEV, learning and qualification management systems such as SAP SuccessFactors and Persis, as well as licensing, qualification, and airport ID management systems used within the aviation industry.

This allows employee data, for example, to be transferred and updated from leading source systems rather than being maintained manually in multiple places.

At the same time, we believe in transparency: in practice, an integration is rarely as simple as "plug and play." Data fields, business logic, permissions, processes, and source systems must be aligned carefully to ensure that information flows correctly between systems.

This mapping and alignment process is an essential part of any professional integration project.

Our advantage: We do not just talk about theoretical integration possibilities. We can draw on extensive experience from numerous integrations that are already operating successfully in live production environments.

Can iLearn24® support Single Sign-on (SSO)?

Yes. Single Sign-on (SSO) is a standard deployment option in iLearn24®.

For example, iLearn24® can be integrated with Microsoft Entra ID. Our preferred approach is OpenID Connect (OIDC), although SAML can also be supported where required.

We generally favor OIDC because, in many environments, it results in lower ongoing maintenance and administrative effort.

Our guiding principle is simple: the most technically complex solution is not necessarily the best one. The best solution is the one that works reliably and minimizes operational effort for our customers over the long term.

Data protection and information security

An LMS processes personal data, learning records, certifications, and often qualification histories spanning many years. Data protection and information security must therefore be integral to the system design, not treated as afterthoughts or optional add-ons.

What matters is not only the technical infrastructure, but also clearly defined roles, permissions, processes, and the effective implementation of data subject rights in day-to-day operations.

How does iLearn24® support data protection and GDPR requirements?

Data protection in an LMS does not begin with the privacy notice and does not end with the server location.

What truly matters is who has access to which personal data, how permissions are documented and managed in a traceable manner, and how data subject rights can be implemented efficiently in practice.

For this reason, iLearn24® includes a comprehensive role-based access and permission concept.The current authorization structure can be provided directly from the system, supporting internal reviews, audits, and approval processes.

The platform also supports the exercise of data subject access rights. Users can initiate a data access request directly within iLearn24® and download the information made available for disclosure, including relevant historical data stored in the system.

This not only benefits the individual concerned but also reduces the administrative burden on the organization, which would otherwise need to compile such information manually.

iLearn24® is hosted in Germany.

Additional expertise within our group of companies: Our sister company, AVIATICS, supports organizations in areas such as the provision of external Data Protection Officers (DPOs). As a result, data protection is not merely a technical product feature for us, but also a subject in which we maintain professional and practical expertise.

How is the technical security of iLearn24® verified?

We view information security as an ongoing responsibility, not a one-time project.

The operation of iLearn24® is supported by established information security management processes, daily backups, and a documented business continuity and disaster recovery concept.

In addition, the system is regularly subjected to independent external review. This includes penetration tests conducted as part of customer engagements within the aviation sector, including assessments performed for a major airport in North Rhine-Westphalia and a Germany-based airline operating across Europe from Munich.

These assessments are particularly valuable to us. They ensure that iLearn24® is not evaluated solely against our own standards, but also against the security requirements of demanding aviation organizations.

iLearn24® is hosted in Germany by Hetzner. The hosting provider maintains its own certifications and security attestations. At the same time, we deliberately distinguish between the certifications and assurances provided by our infrastructure provider and the internal security processes and responsibilities of wingsacademy.


LMS Migration, implementation, and costs

Choosing a new LMS is only the beginning. For a successful implementation, data migration, system integrations, responsibilities, and a realistic view of the overall costs are just as important as the system’s feature set.

How complex is the migration from an existing LMS to iLearn24®, and can existing data be transferred?

In principle, extensive data from a previously used LMS can be migrated to iLearn24®.

This may include, for example:

  • HR master data
  • Current and historical learning records
  • Certifications
  • Training histories
  • Certificates and other supporting documentation

Migration projects are commonly based on exports from the legacy system, as well as structured CSV or Excel files. Even large collections of existing PDF certificates can be assigned to the appropriate individuals and certifications through tailored migration procedures and mass upload processes after suitable preparation.

Based on our practical experience: A migration is also an excellent opportunity to clean up and streamline existing data.

For this reason, we work closely with our customers to evaluate which historical information is genuinely required for day-to-day LMS operations and which data can be archived more appropriately, taking applicable record retention requirements into account.

Our goal is not to import as much legacy data as possible. Instead, our objective is to create a reliable, practical, and sustainable training history that supports future operations effectively.

How long does it take to implement iLearn24®?

If the requirements, necessary data for import, and the basic training matrix have already been prepared, customer administrators can often receive initial access to their system within approximately two to four weeks.

The production rollout for employees can typically take place within around three months, depending on factors such as data quality, integrations, configuration requirements, and the customer acceptance process. In many cases, implementation can be completed even faster.

Based on our experience: The most significant factor influencing the project timeline is usually not the deployment of the LMS itself, but rather the availability and quality of the required information.

For this reason, we support our customers from an early stage in bringing together HR master data, training matrices, processes, and responsibilities in a structured manner.

This not only accelerates implementation but also lays the foundation for a high degree of automation in day-to-day training management. High-quality data is one of the key prerequisites for achieving efficient, scalable, and sustainable training processes.

What does iLearn24® cost and what is included?

iLearn24® Basic starts at around €2,500 net per year for up to 250 active users.

The price includes hosting, maintenance, backups, update services, and basic support.

For larger user numbers, additional features, or specific requirements, pricing is based on the scope of services needed.

Administrative rights do not automatically result in higher licensing costs with iLearn24®. An account remains an account.

Our tip when comparing LMS solutions: Don't just compare license fees or per-user costs. Also consider additional expenses such as hosting, maintenance, updates, support, administrator accounts, integrations, implementation, and other ongoing services.

Only by looking at the total picture can you determine the true cost of operating an LMS.
